Expedia iCal Sync — Connect your calendar

Quick guide to connect Expedia with Plan4Host via iCal.

Sync Expedia with your other calendars via iCal to reduce double bookings. Below you'll find what iCal does and the main steps to connect.

What is iCal sync?

iCal is a standard calendar format (.ics) used by Expedia and many other platforms to import and export reservations and availability blocks. Plan4Host uses iCal to read new bookings from Expedia and send back availability updates, so your channel calendars stay aligned.

Steps to connect

  1. Open your Expedia Partner Central → Calendar.
  2. Locate the iCal export link (or contact support if it is hidden by your contract) and copy it.
  3. In Plan4Host, go to Management → Sync Calendars → Import, add a new iCal channel for the specific room/unit and paste the Expedia export URL.
  4. Copy the Plan4Host iCal export URL for that room/unit and import it back into Expedia under iCal import.
  5. Refresh and verify that events appear correctly on both sides and that there are no overlaps.

Tips

  • Use one calendar per room/unit so mapping stays simple and predictable.
  • iCal syncs events/blocks, not rates or complex restrictions — keep pricing logic in Expedia.
  • Keep timezones aligned across all platforms to avoid off-by-one-day issues.
